Salary Range: Up to $45,000 annualized, commensurate with education, experience and qualifications.

Hours: up to 40 hours per week, exempt.

Essential Functions

Job Summary

Coordinate and/or direct the administration of a large department or unit.

Core Responsibilities
  1. Responsible for a department or unit’s fiscal, budgetary, personnel, faculty, and other administrative matters.
  2. Formulates complex administrative decisions requiring a thorough knowledge of regulations, policies, and procedures.
  3. Uses initiative and independent judgment to relieve one or more administrators of administrative matters and decisions.
  4. Acts as an administrative specialist for the department or unit.
  5. Handles complex office decisions.
  6. Oversees the coordination of administrative duties.
  7. Supervises, hires, and trains clerical staff and maintains personnel files.
  8. Establishes organizational policies, work rules, and operating procedures.
  9. Assists in preparing department and/or unit fiscal year operating budgets.
  10. Maintains accounting records, prepares monthly reports, and approves expenditures for multiple accounts.
  11. Collects data from various sources and analyzes for accuracy, completeness, and relevance. Prepares complex, statistical, technical, financial, confidential, and other various reports, charts and graphs.
  12. Provides counsel to administrators on departmental or institutional matters.
  13. Creates arrangements for official guests and receives them in the absence of the administrator.
  14. Performs annual evaluations of assigned clerical staff.
  15. Takes a proactive approach to assist co-workers in various tasks, to ensure safety.
  16. Performs work tasks in a safe manner and under work instructions.
  17. Creates recommendations to improve safety.
  18. Performs other duties as assigned.

Required Qualifications
  • High school graduate or GED.
  • Nine (9) years of increasingly responsible administrative, clerical, or office experience.
  • At the department’s discretion, a Bachelor’s degree may be substituted for five (5) years of experience.
  • Demonstrated ability to apply knowledge in everyday work situations while utilizing independent judgment.
  • Proficient in Microsoft Office Suite.

  • Office environment.
  • Ability to travel to and from meetings, training sessions, or other business-related events.
  • After-hours and weekend work is required on an occasional basis.

Physical Demands:
  • Sedentary work; sitting most of the time. Jobs are sedentary if walking and standing are required, only occasionally.
  • Exerts up to 10 lbs. of force occasionally.


This position will be primarily located on campus. Travel and parking expenses are the employee’s responsibility.
