The Executive Assistant will provide high-level administrative support to the Life Sciences Director, including scheduling, project management, and communication coordination. Be a highly organized, proactive, and professional individual who can handle sensitive information and navigate a complex business environment.
The Executive Assistant will ensure the smooth functioning of the Office of the Life Sciences Director and act as a liaison between the Life Sciences Director and other internal leaders, teams or external stakeholders.

Responsibilities

Effective prioritization and tracking of key projects and initiatives, ensuring alignment with the company’s strategic direction.
High-level support to the Life Sciences Director, managing schedules, priorities, and confidential matters.
Lead assigned projects, ensuring they are delivered on time, within scope, and in alignment with business goals.
A positive work culture (especially within the Office of the Life Sciences Director) through support of employee engagement initiatives and effective communications.
Comprehensive and proactive administrative support to Life Sciences Director, including calendar management, meeting coordination, and travel arrangements.
Serve as point of contact for Life Sciences Director, managing communication and responding to inquiries on his behalf.
Adequate preparation and organization of documents for meetings, presentations, and reports, ensuring accuracy and timeliness.
Draft, review, and proofread emails, memos, and other written communications as needed.
Research on specific topics as needed and compile data for reports or presentations.
Effective handling of special projects and other tasks as assigned by Life Sciences Director.

Qualifications

Minimum of a Second Class Upper (2:1) or Upper Credit in Business Administration, Life Sciences, Public Health, or a related field.
At least 3 years of experience in an executive assistant or administrative support role, preferably in a healthcare, life sciences, or technical environment.
Exceptional organizational and time management skills.
Strong written and verbal communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to handle multiple tasks and prioritize effectively.
High level of professionalism and discretion.
