Executive Assistant – Patchstack

Patchstack is a Series A cybersecurity company of 35 people, headquartered in Estonia and working globally remote. We help secure open-source software by providing full-cycle vulnerability management — from detection and mitigation to reporting and working with developers to patch vulnerabilities. Our Patchstack Alliance community makes us the #1 CVE discloser in the world, and we partner with hosts to bring proactive security to their customers.

Our teams include Product, Engineering, Sales, Marketing, Threat Intelligence, and Operations. We are growing fast and looking for an Executive Assistant to join us in our mission to make the open-source ecosystem safer for everyone.

Overview
We are looking for a highly organized and proactive Executive Assistant to support our CEO and senior leadership team. This role combines executive-level administrative support with personal assistance to help the CEO manage both professional and personal responsibilities. From coordinating board materials and planning travel, to managing schedules and handling personal logistics, you will play a key role in enabling our leaders to focus on scaling Patchstack. This is a role for someone who thrives in a fast-paced, global, remote-first environment and is excited by the impact of securing the open-source ecosystem.

Patchstack is a fully remote company, but for this role we are looking for someone in Estonia. You will be expected to travel occasionally to Parnu to work with our CEO, and occasionally for company events and meetings.

Responsibilities
Provide day-to-day support for the CEO, managing both personal and professional tasks.
Manage calendars, schedule meetings, and coordinate travel.
Prepare and edit documents, slide decks, and reports for board and leadership meetings.
Coordinate events, retreats, board meetings and leadership offsites.
Support senior leaders with administrative needs (work-related only).
Arrange personal logistics for the CEO, including childcare arrangements, home moves, and other household needs.
Track and follow up on key action items to ensure progress.
Manage inbound requests and communications, drafting responses where appropriate.
Help streamline workflows and bring structure to busy schedules.

Requirements
3+ years’ experience as an Executive Assistant, Personal Assistant, or an operational role that juggles many priorities.
Experience supporting senior leaders in startup.
Proven ability to manage complex calendars and coordinate international travel.
Strong written and verbal communication skills in English.
High proficiency with tools such as Google Workspace, Slack, and project management software.
Comfortable working in a fully remote environment across time zones.
Discretion and professionalism in handling confidential information.
