Service Coordinator

MEPPI’s Service Center Division (SCD) is seeking a detail-oriented and customer-focused Service Coordinator to join our team. In this essential role, you will manage and coordinate service activities—from scheduling and documentation to technician support and invoicing. You’ll play a key part in ensuring our customers receive best-in-class support throughout the service lifecycle.

Own the Service Process:
Plan, organize, and schedule service activities including repairs, preventative maintenance, parts replacement, and warranty work. Collaborate with customers, sales representatives, service technicians, and authorized service providers (ASPs) to ensure smooth execution.

Keep Operations Flowing:
Maintain the service calendar to track scheduled fieldwork, emergency calls, and technician availability.

Drive Accuracy & Efficiency:
Create and process service orders, including parts, labor, ASP commissions, and service contract maintenance. Enter all relevant details into MEPPI’s CRM and business systems.

Empower the Field Team:
Generate and distribute work orders for all service activities and coordinate third-party equipment and logistics for site testing and start-ups.

Support Our Partners:
Issue paperwork and coordinate payments for completed service work provided by ASPs.

Manage Maintenance Contracts:
Track open service contracts and ensure that preventative maintenance work is completed on schedule.

Follow Through to Closeout:
Verify all service activities have been completed, documentation submitted, and expenses posted. Prepare service orders for invoicing or credits.

Streamline Returns:
Issue Return Material Authorizations (RMAs) for equipment returns and coordinate logistics.

Facilitate Deliveries:
Work with MEPPI logistics and customers to schedule deliveries for large service-related shipments.

Ensure Site Readiness:
Confirm that technicians hold necessary credentials and meet safety compliance for each job site.

Champion Collaboration:
Promote a positive image of SCD by working closely with internal departments, customers, and suppliers in a timely and cooperative manner.

Education:
Associate degree in Business or related discipline, or equivalent combination of education and experience.

Experience:
3+ years in customer service, sales support, or service coordination—ideally within a service-related industry.

Skills & Knowledge:

  • Strong multitasking and organizational skills with a focus on accuracy and meeting deadlines.
  • Intermediate-level communication and interpersonal skills to engage with customers and cross-functional teams.
  • Experience in CRM, ERP/MRP systems, and MS Office Suite.
